Do you have the drive and passion to help plan Western Canada’s largest celebration of Caribbean arts and culture? If so, we’re looking for enthusiastic, committed individuals to fill our Director at Large volunteer positions.

 

This is a unique opportunity to contribute to one of the Edmonton’s most vibrant festivals while gaining valuable leadership experience in event planning, community engagement, and cultural celebration.

Job Description: Director at Large

As a Director at Large, you will play a key role in ensuring the success of the festival by leading and coordinating one of our key operational silos. You will work closely with the Western Canada Caribbean Arts & Culture Association (WCDA) executive team to bring the festival’s vision to life.

 

Key Responsibilities:

  • Silo Coordination:
    Oversee the planning and execution of one of the festival’s primary operational silos (e.g., marketing, logistics, programming, volunteer management).

  • Collaboration with Executive Leadership:
    Work closely with the WCDA executive team to align your silo’s activities with the festival’s strategic goals and directives.

  • Board Meeting Attendance:
    Participate in monthly board meetings to provide updates, collaborate on planning, and report on your silo’s progress.

  • Silo Team Meetings:
    Attend and contribute to your silo’s team meetings. Frequency of meetings will be determined by your team lead.

  • Portfolio Management:
    Ensure that key benchmarks and deadlines are met within your portfolio.

  • Budget Management:
    Oversee and analyze the budget for your silo, ensuring responsible financial management and reporting.

Open Positions

Special Events Coordinator

  • Prepare event schedule for the year

  • Coordinate Friday Night Costume Extravaganza and Village Entertainment

  • Write scripts for MC

  • Obtain quotes for venues, technicians, entertainment as required

  • Coordinate all special event service contractors

  • Develop and issue performer and service contracts

  • Liaise with technical team for production

  • Coordinate equipment, transportation and accommodation for out-of-town performers

  • Manage Event Budgets

Caribbean Village Coordinator

  • Set up and take down of the Village (Create Load in document)

  • Coordination of Contractor services i.e. Electrician, Plumber, Propane, Waste Removal, Forklift, Power washer and liaise with Security Team to coordinate security services

  • Obtain quotes for services 

  • Oversee Rum Gardens

  • Liaise with volunteer team to ensure adequate volunteers

  • Manage operations of Caribbean Village throughout the weekend

  • Coordinate stage/Sound booth set up with Entertainment team

  • Ensure necessary permits are in order

  • Attend monthly meetings with Civic Events Team

  • Food and Merchant Vendor management i.e. Pre/post festival meetings,  Update vendor application, manage vendor fees with Treasurer’s assistance

  • Liaise with AHS and Fire Department for necessary documentation and inspections

  • Village budget management

Parade Coordinator

  • Map activities along parade route

  • Coordinate security personnel

  • Liaise with Volunteer Team to ensure adequate number of parade marshals in place

  • Obtain quotes for services – i.e. gulf carts, generators

  • Engage parade transportation volunteers and contractors (truck drivers, picker trucks, generators, etc.)

  • Attend monthly/weekly meetings with Civic Events Team

  • Ensure clean up crew in place for parade

  • Ensure Port- Potties on site for Assembly Area

  • Manage parade budget

Volunteer Coordinator

  • Review and update volunteer application

  • Create / implement recruitment plan

  • Manage Sign up tool

  • Obtain quotes for necessary services

  • Coordinate sourcing of volunteer T-shirt and swag

  • Plan volunteer orientation and appreciation

  • Recruit judges for Friday night Extravaganza and Saturday parade

  • Manage Volunteer Program Budget
